We are looking for someone to join the team to help with Services & Systems Administration.

We have a Temporary Full Time placement opportunity available for a Service & Systems Administrator . You will be based at the John Radcliffe Hospital, OX3 9DU

The working pattern is Monday-Friday 8.00 – 16.00 with an hourly rate of £11.14

As a service & Systems Administrator, you will be one of a team, who are responsible through the OUH Trusts Letter Production service; to print and dispatch all outpatient appointment letters and to ensure all correspondence processed via the Letter Production team is enveloped and dispatched in a timely manner.

Your responsibilities will include:

  • Letter Production
  • Using the Cerner Millennium system, extract all letter data for letters that have been generated on the previous working day (for 98% of the OUH Trust’s Outpatient activity)
  • Using the Cerner Millennium system extract appointment reminder data for future appointments
  • Print all outpatient appointment and reminder letters, ensuring that letters are printed in strict priority and have all necessary booklets and information leaflets
  • Ensure that all correspondence is sorted, enveloped and ready for dispatch by end of day
  • Ensure a complete audit trail is maintained by updating audit paperwork and Access Databases on all transactions
  • Provide a professional service to departments using Letter Production for the enveloping of transcription letters
  • Maintain Letter Production systems ensuring that all additional data required to populate letters is up to date and accurate
  • Be responsible for maintaining adequate stationary supplies of all inserts relevant to letters sent
  • Update patient’s mobile numbers on Millennium PAS as necessary for the SMS reminder service
  • Check SMS service daily for confirmed and failed SMS reminders, re-printing failed SMS as necessary

You will need the following:

  • Be Methodical and organised
  • Good initiative for identifying tasks that need to be done
  • Good attention to detail
  • Strong computer skills - Microsoft 365 including Outlook, Excel and Word
  • Strong communication skills verbal and written
